Checking in and induction

You are welcome to move into your new residence from the date specified in your letter of offer/Accommodation Agreement. 

If you wish to arrive earlier than the date specified in your UOW Accommodation Services Agreement, please contact your place of residence for approval.

Prior to your arrival, you will be sent a unique barcode. Please save this as you will need it for checking in. 

Whilst residents may express a preference for a particular room or unit, allocations are made at the discretion of the relevant Associate Director, Student Residence. In allocating rooms to individual residents, the Associate Director, Student Residence takes into consideration many factors, including resident preferences, while attempting to provide a diverse cultural environment.

Room and inter-residence transfers are considered on a case by case basis. If you wish to apply to change your room or residence during the year, you can complete an application to Transfer Request form, available from your residence administration office and also at Student Central - Accommodation Services (take a ticket for Accommodation Services). Changes are subject to availability and approval by the Associate Director, Student Residence. Please note transfer charges apply.

UOW Accommodation Services reserves the right to consolidate units (for example: merge two units within both of which there are vacant rooms to make a fully occupied unit) in order to reduce cleaning costs, enhance safety and security, and reserve or retain complete units for guests or emergencies. This means some residents may be reassigned to a new room. Whilst this process may be applied at any time, it is more likely to occur during the Summer Session.

A room/unit condition report will be available on the accommodation portal on arrival. You must:

  • complete the digital form,
  • report any maintenance issues immediately 

When you vacate your room/unit, a room inspection will be completed. If there is any damage or items missing from your room, an audit will be conducted on the original room condition report that was completed on arrival. For example, if a hole in the wall was evident on arrival and was not reported on the condition report and a maintenance issue logged, costs will be charged to your account. Additionally, the room must be left as you found it. You may be charged for refitting door closers, fly screens, putting beds back together, or reversing any other alterations made to the condition of your room.

When you check-in at your UOW Accommodation Services residence, you will be asked to verify your identity by producing photo identification (such as an Australian Drivers’ Licence or Australia/International Passport). You will also be asked to have your photograph taken. This image will be stored electronically to assist in:

  • verifying your identity if you become locked out of your room/ unit without identification
  • to assist staff in identifying persons who may have been involved in breaches of residential community standards

There may be times where, for the maintenance of good order or security, you may be asked to demonstrate, by producing photo identification, that you are a current UOW Accommodation Services resident.

You will be asked to sign a register for all keys and cards issued by UOW Accommodation Services. Charges apply for lost or stolen keys and/or cards. Please note for the safety and security of your residence any lost key should be reported immediately to your residence office. This will allow the office to cancel the lost key, arrange for a replacement key/card, and prevent any unauthorised access to the residence and your unit/room.

If arriving on the first Sunday of contract, check in time is between 2:00 pm to 6:00 pm.  If you are arriving outside of these hours on this Sunday, please contact office staff on the email below prior to your arrival.

  • Health care card/Medicare card/private health insurance card or details
  • Laundry basket, washing detergent and clothes pegs
  • Personal identification
  • Toiletries, any regular prescription medications that you use, prescriptions for medication
  • Bed linen (sheets, doona/quilt/duvet/comforter) & covers, pillow and pillow cases (please note that beds are either standard long singles or king singles)
  • Bath and beach towel
  • All of your University documents and any other important paperwork you may need
  • Kitchen supplies
  • TV (please check with office staff)

  • Cooking utensils, pots, and pans (for self catered residents)

Check in time is from 10.00 am.

What to bring:

Resist the temptation to bring everything! Much of what we see students bring to residence is never used and often thrown out at the end of the year resulting in terrible waste. You might also wait until you have settled in, as many items could be purchased jointly with your fellow residents, thereby saving money.

Here is a helpful list of things you might want to consider:

  • Linen (consisting of towels, sheets to fit Australian Standard Single mattress), doona, doona cover, pillow and pillowcase.) Also a bath towel.
  • Blue Tac (please don’t use sticky tape or thumbtacks for obvious reasons!)
  • Important docs (birth cert, Medicare card, medical prescriptions)
  • Desk lamp,  Medications (where required).
  • Laundry basket, clothes hangers, pegs and detergent
  • Computer (Wi-Fi access is available in all residents’ rooms and common areas)
  • If you are bringing a bicycle ensure you bring a lock and helmet (law in NSW). Your bike will not be insured if it is not locked in the bike shed.
  • Powerboard (must meet Australian Standards and incorporate a surge protector)
  • Australian-approved Adaptors (for those coming from overseas, best to purchase when you get to Australia)

 Please note, there are some items that we suggest you do not bring:

  • Your own furniture (you will have everything you need provided)
  • Candles, oil burners or incense (don’t risk the $1,250 Fire Brigade call out fee)
  • Electrical equipment that may cause room fuses to trip (Don’t bring a heater higher than 1000 watts nor blow heaters of any wattage) Toasters, sandwich press, microwaves (don’t risk the $1,250 Fire Brigade call out fee)
  • Any illegal drinking or smoking paraphernalia

If arriving on the first Sunday of contract, arrival time is 9am-3pm where our administration team will be in the office to assist you. After hours and on weekends the office is staffed by a Community Assistant. The office can be contacted 24 hours a day on (02) 4221 4770.

What to bring:

  • Pillow, bed linen (refer to bed type below) and towels. If you have already purchased these online via the shopping cart in the Accommodation Portal, it will be available for you upon arrival);
  • Computer, laptop, cables, etc.
  • Small electrical appliances including toaster, kettle, hair dryer etc;
  • Cutlery, crockery (plates, cups, bowls etc.) and cooking utensils;
  • Washing basket, coat hangers;
  • Optional: Study lamp, radio, alarm clock, TV, radio/stereo, and headphones.

**Please note- if you are staying in a shared unit at Kooloobong Village, you may wish to wait until after your arrival to discuss the purchase of some shared items with your roommates**

  • Common kitchens on each ground floor level with shared ovens, fridge, microwave and cook tops;
  • Multiple games rooms with TV's, billiards, table tennis, & foosball tables;
  • Laundry facilities (washers, dryers and ironing boards);
  • Outdoor barbeque facilities;
  • Meeting/study room facilities;
  • Music room;
  • Community garden;
  • Snack, drink machines; and
  • Undercover car parking (available online for purchase, check on the Accommodation Portal for more information), including off-site options. There are limited spaces so be sure to get in quick!
