What are my responsibilities?
If you have been offered casual academic employment within the School of Health Sciences you will be expected to undertake the responsibilities as outlined in the Position Description.
Your employment is covered by the University of Wollongong (Academic Staff) Enterprise Agreement 2011.
In addition you will be required to comply with the provisions of the University Code of Conduct Policy and other policies in relation to, but not limited to, occupational health and safety, teaching and supervision, equal opportunity and diversity, travel, research and intellectual property. University policies can be found at UOW Policy Directory.
Please make yourself familiar with these policies and guidelines especially the Code of Practice: Teaching and Assessment.
How do I accept my offer of employment?
To accept an offer of casual academic employment you are required to complete and return the following forms to your Subject Coordinator.
- Casual Academic Authority This form is your employment contract.
This form needs to be read carefully including the “Conditions of Employment” on the last yellow page of the form.
If you have been employed by UOW previously please include your Employee Number on the top right hand side of the form.
Please complete the “Employee Details” and “Financial Institution Details” on the front of the form and sign the form.
Your Subject Coordinator will complete the balance of the form and submit for approval by Head of School.
The yellow copy of the completed Casual Academic Authority will be posted to you once it has been processed and received back from Human Resources Division. This can take at least two weeks.
- Tax File Number Declaration Form (new employees)
If you are commencing a casual appointment with UOW for the first time you will need to complete and sign a Tax File Number Declaration Form. All Casual Academic Staff should ensure that this form has been provided as a higher rate of tax will be deducted if not received.
Please return this form with your Casual Academic Authority.
Superannuation benefits will be paid in accordance with superannuation legislation. The benefit will be deposited with UniSuper, the University’s default superannuation fund unless you nominate your chosen fund. If you have not previously advised UOW of your alternative superannuation fund please complete the ‘Superannuation Choice of Fund Form’. This form should be submitted with your Casual Academic Authority.
SHS Casual Academic Timesheet Approval Form
This form must be completed and submitted with the Casual Academic Authority. The total hours to be worked during the session at the relevant rates must match the totals on the Casual Academic Authority. Your Subject Coordinator will assist in completing this form at the same time as the Casual Authority.
How do I get paid?
Once your Casual Academic Authority has been processed you can lodge pay claims for hours worked in WebKiosk which provides you with 24hr, 7 day electronic access to your payroll information.
When you log into WebKiosk you will be asked for your "Employer Number" and a "Password".
Your "Employer Number" remains the same throughout your employment at UOW. If you are a new employee your number is found on the "Casual Authority" copy that has been returned to you.
If you are a first time user your "Password" is "yoursurname1" (e.g. smith1). Please ensure you change your password once you have entered WebKiosk.
All Casual Academic Staff are responsible for the lodgement of their own timesheets and checking for rejections/payments. You must ensure that your timesheet is completed correctly (ie. correct rates, hours and dates) and is lodged by the cut off date to avoid delays in receiving your pay. Timesheets are rejected if incorrect. Note: Please do not use the ‘Repeat Timesheet’ option.

Beryl Schafe will approve your online timesheets each fortnight by comparing the timesheet with the Casual Academic Timesheet Approval Form supplied with your Casual Academic Authority. You can view the status of your claims at any time in the ‘Existing Timesheets’ screen. Approved timesheets will no longer appear in the ‘submitted’ screen. If a timesheet has been rejected it will appear in the ‘reject’ screen. You should check the ‘Comments’ section at the bottom of the timesheet. If it is a simple change you can modify and then resubmit. If the timesheet requires many changes it is best to delete the rejected timesheet and submit a new one.
A User Guide for Casual Academic Timesheets is available.
If you are having difficulty logging into WebKiosk, HR have payroll support for UOW casual staff via email: firstname.lastname@example.org or via telephone: x 4715 (external 4221 4715).
Rates of Pay
The amount you will get paid is shown on the Conditions of Employment and Rates of Pay sheet attached to the Casual Academic Authority.
