Faculty of Arts Equipment Procedure

In line with University policy, all users of University equipment are responsible for ensuring that computing and network facilities are used in an effective, efficient, ethical and lawful manner.

All existing laws (federal and state) and University regulations and policies apply, including not only those laws and regulations that are specific to computers and networks but also those that may apply generally to personal conduct (specific attention is drawn to University internet use, asset management, intellectual property and ethics policies).

Users must observe all applicable policies and law of external data networks as well as internal policies on all other computing facilities wherever situated where access is by means of University provided services.

Equipment for Loan

The Faculty of Arts has a number of items of IT and AV equipment available for loan and provided for use in authorised faculty research, teaching, and administrative activities. In the interests of equity, the equipment is provided for short term loan only. Proposed loans for longer periods should be discussed with the Infrastructure Support Coordinator well in advance of the proposed loan.

Equipment can only be loaned to current members of staff and current visiting fellows. Staff may borrow equipment on behalf of students they are supervising, but the staff member remains responsible for ensuring that the equipment is used lawfully in accordance with University and Faculty policy, and that it is returned undamaged and on-time.

Consumable items such as batteries, computer disks etc. are the responsibility of the borrower.

Procedure for Loan of Equipment

Prospective borrowers should contact the Arts Infrastructure Service Centre via email to arts_help@uow.edu.au or phone extension 3623 (42213623 externally) before it is required to discuss availability, suitability, alternatives, and basic training in use of equipment.

Equipment can be booked by completing the Equipment Loan Form (available from the Arts Infrastructure Service Centre). The booking is confirmed when the borrower receives a confirmation email from the Service Centre.

Specific requirements (e.g. installation and set up by Service Centre Staff, or installation of specialist software) should be noted on the form, and discussed with Service Centre Staff to ensure that they are understood, and possible.

Responsibility of the Borrower

  • to use the equipment only for legitimate purposes related to employment with the University of Wollongong;
  • that the borrower is not on long service leave, recreational leave, or leave without pay during the loan period;
  • to return the equipment at the end of the loan period or on demand by the Infrastructure Support Coordinator;
  • to take all reasonable steps to prevent damage to, or loss of, the equipment while on loan;
  • to ensure that any university equipment is used lawfully and in accordance with UOW policies (specific attention is drawn to internet use, asset management, intellectual property and ethics policies);
  • that the borrower will not lend this equipment to any other person, except a UoW student the borrower is currently supervising. Should the borrower lend this equipment to such a student, the borrower is still responsible for the safe and timely return of the equipment, for any loss or damage, and for ensuring that the sub-lendee complies with the above terms;
  • Provided the borrower fulfils these obligations and provide all assistance with any required insurance claims, the university will not hold the borrower responsible for any repair or replacement costs.
