Background
In the revised process for course and subject approvals it was agreed that subject approval (with the exception of those subjects that comprise part of a new or major course) would be carried out at the Faculty level, with overall approval by the Vice-Chancellor.
A random subject audit would ensure compliance with University guidelines, codes of practice and policies. This procedure formalises that audit process.
Who will do the audit?
An audit subcommittee of the UEC, chaired by Dean of Students and comprising at least two Chairs of Faculty Education Committees or their nominees. A Secretariat officer will liaise with faculties and support the audit subcommittee.
When will it be done?
In the last quarter of each academic year.
How many subjects will be audited?
Up to 10% of new subjects from each Faculty will be selected at random. Faculties will be asked to provide a copy of their subject approval documentation for the selected subjects.
| What information will be considered? |
The audit subcommittee will review Faculty proposals for new subjects to ensure compliance in accordance with the guidelines for subject approvals. If necessary, Faculties will be asked to provide additional supporting information.
How will it be reported?
The audit subcommittee will report to the Vice-Chancellor through the PVC(A) on compliance with relevant policies and guidelines and on instances in which non-compliance was found. In those incidences a detailed report on non-compliance will be provided to the Dean and FEC Chair of the Faculty concerned, with a request for rectification, with a response to be provided to the PVC(A) within a month.
A generic report to Senate on levels of compliance or non-compliance will be provided without identifying the Faculty/ies involved.
When was it implemented?
The audit process was introduced from the second half of 1997.
