1 Purpose of Policy
- 1. The University appoints approved UOW PhD, Professional Doctorate and Masters by Research graduates as Honorary Postdoctoral Research Associates to provide them with an institutional affiliation, library access the opportunity to maintain research activity and the opportunity to make contributions to the University’s research culture. This policy sets out the process for the appointment, as well as the conditions of appointment and mutual obligations of Honorary Postdoctoral Research Associates at the University of Wollongong.

3 Application & Scope - Exclusions or Special Conditions
- 1. This policy applies to any person appointed as an Honorary Postdoctoral Research Associate as defined above.
4 Policy Principles
- 1. Honorary Postdoctoral Research Associates are not employees of the University and as such they are unpaid.
- 2. Honorary Postdoctoral Research Associate appointments are at the discretion of the University and may be terminated at any time by written notice from the University.
- 3. Honorary Postdoctoral Research Associates must observe the rules, codes of conduct and practice and policies and standards of the University as set out in section 7 of this policy as well as any special conditions specified at the time of appointment.
- 4. Relevant Australian visa requirements for international Honorary Postgraduate Research Associates must be met, specifically in regard to length and conditions of stay. Visa applications are the responsibility of the individual. The University will not take responsibility for medical and hospital expenses where visas do not provide such cover. It is the individual’s responsibility to make arrangements for their own medical and hospital coverage.
5 Eligibility
- 1. Eligibility to apply to become an Honorary Post Doctoral Research Associate is limited to individuals who have:
- a. been a recipient of a University of Wollongong research degree in the five years prior to application; and
- b. demonstrated ongoing research activity (publications, awards, grants etc.)
6 Appointment of Honorary Postdoctoral Research Associates
- 1. Appointments as Honorary Postdoctoral Research Associates are for a term of one year, with no limit on the number of renewals.
- 2. Applications to become an Honorary Postdoctoral Research Associate should be made on the Honorary Postdoctoral Research Associate Application Form.
- 3. Applications must include:
- a. letters of support from previous supervisor(s), and/or Heads of Postgraduate Studies, and/or research group leaders;
- b. a research plan that will, in the opinion of the Deputy Vice-Chancellor (Research) or nominee, enhance the University’s research outcomes.
- 4. Application forms must be signed by the Dean of the relevant Faculty and forwarded to the Research Student Centre
- 5. The Research Student Centre shall review all applications, check eligibility, and forward eligible applications to the Deputy Vice-Chancellor (Research) or nominee for final approval. The Research Student Centre will advise unsuccessful applicants as soon as practicable.
- 6. Approved applications shall be forwarded to the Recruitment Unit, Personnel Services for processing.
- 7. The Recruitment Unit shall issue a letter of invitation advising successful applicants of their appointment as Honorary Postdoctoral Research Associates and setting out the conditions of their appointment.
- 8. Confirmation of an appointment is conditional upon the individual returning a signed copy of the letter of invitation which includes signed undertakings in respect of assignment of intellectual property, confidentiality of information and observance of relevant University policies, codes of conduct and practice, standards and rules together with a registration form for HR systems purposes.
7 Benefits, Rights and Obligations of Honorary Postdoctoral Research Associates
- 1. Honorary Postdoctoral Research Associates are engaged in an unpaid capacity.
- 2. Honorary Postdoctoral Research Associates will be provided with a University email and internet account and library user access.
- 3. Honorary Post Doctoral Research Associates are not entitled to office space or computer facilities but these may be provided at the discretion of the relevant faculty.
- 4. Honorary Postdoctoral Research Associates are not eligible for University Research Council funding schemes.
- 5. Honorary Post Doctoral Research Associates are eligible for faculty funding schemes when explicitly approved by the Dean of the relevant faculty.
- 6. Honorary Postdoctoral Research Associates are only entitled to use the full title, inclusive of the term honorary as specified in their letter of appointment for the term of their appointment.
- 7. Honorary Postdoctoral Research Associates shall be accountable to the Dean of Faculty to which they are appointed through the respective Head of School or Department. They are also subject to the directions of the Dean and Head of School or Department. Any failure in respect of following the direction of the Dean or Head may result in the immediate termination of the appointment.
- 8. Honorary Postdoctoral Research Associates may be required to sign a Deed of Assignment in relation to the ownership and assignment of intellectual property developed while an Honorary Postdoctoral Research Associate at the University. Details in relation to this requirement can be found under the UOW Fellow, Volunteer and Visiting Student Assignment of Intellectual Property Policy located on the University Policy Directory, and comply with UOW’s policies relating to developing and managing partnerships with UOW partners.
- 9. Honorary Postdoctoral Research Associates may be required to sign a Confidentiality Agreement in respect of confidential material and information which they may become aware of in the course of their appointment as an Honorary Postdoctoral Research Associate at the University of Wollongong.
- 10. All Honorary Postdoctoral Research Associates shall observe and comply with University policies, codes of practice and conduct, standards and rules relevant to their appointment. These include policies, codes of practice and conduct, standards and rules respect of research, occupational health and safety, use of University systems, equipment and facilities, equity and diversity, conflict of interest, the University Codes of Conduct and the Use of the University Name in Public Statements Policy.
8 Roles & Responsibilities
- 1. The Research Student Centre and Personnel Services are responsible for maintaining this policy and administering procedures for the appointment of Honorary Post Doctoral Research Associates
- 2. Deans of faculties are responsible for initially assessing application forms for appointment of Honorary Post Doctoral Research Associates.
- 3. The Research Student Centre is responsible for assessing the eligibility of applications and forwarding them to the Deputy Vice-Chancellor (Research) or nominee for approval. The Research Student Centre is also responsible to advising unsuccessful applicants.
- 4. Final approval of Honorary Post Doctoral Research Associates is the responsibility of the Deputy Vice-Chancellor (Research) or nominee.
- 5. The Recruitment Unit is responsible for processing approved applications, issuing letters of invitation and entering details of Honorary Postdoctoral Research Associates who accept the letter of invitation on the University’s systems.
